When you run a consolidation, BrightWorkpapers rolls up the eligible audit files across your group into a consolidated set of accounts. The job runs in the background, tells you exactly what was included and excluded, and records the run for a clear audit trail.
This article covers how to run a consolidation and how to check the outcome. It applies to all regions and to Group Audit files only.
Run a consolidation
- Open your Group Audit file and go to the Trial Balance or Consolidation Breakdown page.
- Select Consolidate.
- You'll be asked to confirm before the job begins. Confirm to start.
- The consolidation runs in the background, so you don't need to keep the page open while it completes. The Trial Balance and Consolidation Breakdown pages show a status message in the meantime, and you're free to carry on with other work.
Which files are included
BrightWorkpapers is deliberate about what it consolidates, so your group figures stay accurate:
- Only subsidiary files of type Audit are included in the calculation. Other file types linked to the same subsidiary won't affect your consolidated figures.
- Duplicate audit files are excluded and flagged. If a subsidiary has more than one Audit file with a trial balance for the same reporting period, those files are excluded from the consolidation and flagged to you, so you can resolve which file should be used.
When the job finishes
Once the consolidation completes, BrightWorkpapers:
- Sends you an email confirming how many entities were consolidated out of the group total, together with a breakdown of anything that was excluded and why.
- Records the consolidation in your Activity Feed, giving you a clear audit trail of the run.
- Updates the Trial Balance and Consolidation Breakdown pages with the consolidated figures.
Checking and re-running
- Review the consolidated figures on the Consolidation Breakdown and Trial Balance pages, and use Group by Transaction to trace how entries rolled up (see the article on the consolidated views).
- If the completion email or breakdown flags exclusions you didn't expect, resolve the underlying files — for example, sort out a subsidiary that has more than one Audit file with a trial balance for the same period — and run Consolidate again.
Common questions
A subsidiary is missing from my consolidated figures. Why? The most likely reasons are that the subsidiary's file for the period isn't of type Audit, or that it was excluded because more than one Audit file with a trial balance exists for the same reporting period. Check the exclusion breakdown in your completion email.
Do I have to wait on the page while it runs? No. The job runs in the background — you can navigate away and carry on working. You'll get an email when it finishes.
Where can I see who ran a consolidation and when? Each run is recorded in the Activity Feed on the Group Audit file.
