Once your firm’s ATOSA integration is enabled (see “Setting Up ATOSA Connection”), the next step is to import and link your clients’ ATO taxpayer accounts. This allows Bright Workpapers to retrieve ATO data for those clients when working on automated workpapers.
This article covers how to import clients from ATOSA and link them to existing Bright Workpapers client records.
Before You Begin
- Ensure the ATOSA integration is set up in your firm settings (see “Setting Up ATOSA Connection”).
- Ensure the taxpayers you wish to connect have been set up within your ATOSA account. Taxpayers must be registered in ATOSA before they can be imported into Bright Workpapers.
Importing Clients from ATOSA
Step 1 – Open the Client Import Dialog
Navigate to the Clients area in Bright Workpapers. Click the Import button to open the client import dialog. You will see the existing import sources (e.g. Class Super, SuperMate, BGL Simple Fund 360) along with a new ATOSA option displaying the ATOSA logo.
Step 2 – Connect to ATOSA
Click the ATOSA logo to initiate the import. The system will call the ATOSA API using your stored API key and retrieve the full list of taxpayer clients registered under your ATOSA account.
Step 3 – Review the Client List
The system matches the imported ATOSA clients against your existing Bright Workpapers client records using ABN, TFN and client name. The results are displayed in three groups:
- New Clients – Taxpayers found in ATOSA that do not match any existing client in Bright Workpapers. These will be created as new client records.
- Similar Clients – Taxpayers whose name matches an existing client but whose ATOSA taxpayer ID is not yet linked. For these you have three options:
- Link and Merge – Update the existing client record with the ATOSA details (client name, ABN, TFN) and link it to the ATOSA taxpayer account.
- Create New Client – Create a separate new client record rather than merging with the existing one.
- Compare Details – View the full details of both the ATOSA record and the existing client side-by-side before deciding.
- Existing Clients – Clients already linked to an ATOSA taxpayer account. No action is required for these.
Step 4 – Confirm Your Selections
Review each group and make your selections. When you confirm, new client records will be created and existing records will be linked as appropriate.
Tip – Locked Fields
Once a client is linked to ATOSA, the ABN and TFN fields on that client record are locked and cannot be edited manually. This ensures the data stays in sync with the ATO. To update these fields, use the “Reimport from ATOSA” option on the client record.
Refreshing Client Details
After a client has been linked to ATOSA, you can refresh their details at any time:
- Open the client record. You will see the ATOSA logo displayed in the top-right corner, confirming this client is linked.
- Click the drop-down arrow next to the ATOSA logo and select “Reimport from ATOSA”.
- The system will call the ATOSA API and update the client name, ABN and TFN if any details have changed.
Periodic Sync
We recommend running the ATOSA client import periodically (e.g. at the start of each engagement season) to pick up any new taxpayers that have been added to your ATOSA account and to ensure existing links are up to date.
Troubleshooting
| Issue | Resolution |
| ATOSA option not visible | The ATOSA integration has not been set up. Follow the steps in “Setting Up ATOSA Connection” first. |
| No clients returned | Verify that taxpayers have been registered in your ATOSA account. If they have, check that your API key is valid and up to date. |
| Client not matching correctly | Matching is based on ABN, TFN and client name. If a client appears under “Similar Clients”, use the “Compare Details” option to review before linking. |
