Confirm Import of Taxpayer Data
Before Bright Workpapers can retrieve ATO data for a client, the taxpayer’s data feed must be activated in ATOSA. This is a one-time step per taxpayer that authorises ATOSA to pull data from the ATO on your behalf.
This article explains how to check whether a taxpayer’s data feed is active and how to activate it if it is not.
Understanding the Data Feed
When a client is imported from ATOSA into Bright Workpapers (see “Connecting Clients to ATOSA”), the client record stores a link to the ATOSA taxpayer account. However, importing the client does not automatically activate the ATO data feed. The data feed must be explicitly activated, which triggers ATOSA’s billing for that taxpayer.
Important – Billing
Activating a taxpayer’s data feed will start the ATOSA billing process for that taxpayer. Please review your ATOSA subscription and pricing at www.atosa.com.au/pricing before proceeding.
Checking Data Feed Status
You can tell whether a taxpayer’s data feed is active by attempting to request ATO data from within a workpaper. When you click “Request Data” or “Refresh Data” on an ATO-enabled workpaper, the system runs three checks in sequence:
- ATOSA Integration Setup – Is the firm’s ATOSA API key configured?
- Client Linked – Is this client connected to an ATOSA taxpayer account?
- Data Feed Activated – Has the taxpayer’s data feed been activated in ATOSA?
If the data feed has not been activated, you will see a message stating: “The data feed for this client’s taxpayer account has not been activated.”
Activating a Taxpayer’s Data Feed
Step 1 – Open the Client Record
Navigate to the client in Bright Workpapers. You should see the ATOSA logo in the top-right corner confirming the client is linked to an ATOSA taxpayer account.
Step 2 – Select Activate Client
Click the drop-down arrow next to the ATOSA logo. If the data feed has not yet been activated, you will see an “Activate Client” option. Click it.
Step 3 – Review the Billing Confirmation
A confirmation dialog will appear with the message: “This action will start the ATOSA billing process. Please consult the ATOSA application for further details. Would you like to continue?”
The dialog includes a link to the ATOSA pricing page for reference.
Step 4 – Confirm Activation
Click “Continue” to proceed. The system will call the ATOSA API to activate the taxpayer’s data feed. Once successful:
- The client’s record is updated to reflect the activated status.
- The “Activate Client” option is removed from the drop-down menu.
- The page refreshes to confirm the change.
If you change your mind, click “Cancel” to return to the client page without activating.
Requesting ATO Data After Activation
Once the data feed is active, you can retrieve ATO data from within any ATOSA-enabled workpaper:
- Open the workpaper and look at the Automation Details panel. You will see the ATO datasets listed (e.g. AtoActivityStatements, AtoTaxAccountTransactions) with their current status.
- Click “Request Data” (or “Refresh Data” if data has been retrieved previously) to initiate the retrieval.
- The dataset status will change to “In Progress” while data is being retrieved from the ATO via ATOSA.
- Once complete, the status changes to “Ready” along with the number of rows retrieved.
- Click “Apply Data Fields” to populate the workpaper with the retrieved ATO data.
Tip – Data Retrieval Statuses
Not Retrieved – Data has not yet been requested. | In Progress – Data is currently being fetched from the ATO. | Ready – Data is available and shows the number of rows. | Failed – An error occurred; please contact Bright Workpapers support.
Troubleshooting
| Issue | Resolution |
| “Data feed has not been activated” message | Follow the activation steps above. Open the client record, click the ATOSA drop-down, and select “Activate Client”. |
| “Activate Client” not showing | The data feed may already be active. Try requesting data from a workpaper directly. If you still encounter issues, verify the client is linked to ATOSA (look for the ATOSA logo on the client record). |
| Data stays “In Progress” | Data retrieval may take a few moments. Refresh the page after a short wait. If the status does not change, contact Bright Workpapers support. |
| Status shows “Failed” | An error occurred during data retrieval. Please contact Bright Workpapers support for assistance. |
